Who we are

This website is operated by Samrijo Hospital, Main Burari Road, near Janta Medicos, Conductor Colony, Burari Garhi, Burari, Delhi – 110084 ("we", "us"). We are the Data Fiduciary for personal data collected through this website.

What we collect

When you use our appointment or contact form, we collect:

• Your name and mobile number
• Your health concern (selected from a list), an optional preferred date, and any message you write
• Your consent to be contacted, and the page you sent the form from

Because your concern may relate to your health, we treat all form information as sensitive and handle it with extra care. Please share only what is needed to arrange your appointment. Detailed medical history can be discussed during your consultation.

If you choose "Send on WhatsApp" or call us, the information you share is handled through WhatsApp (Meta) or the phone network, and then by our hospital desk.

Technical data: our web server may briefly process your IP address to deliver the website and to prevent spam (see "How long we keep it"). If website analytics are enabled, we collect anonymous usage data such as pages visited and device type (see "Cookies and analytics").

Why we use it

• To contact you about your enquiry and arrange an appointment. This is the only purpose of the form.
• To protect the website from spam and misuse.
• If analytics are enabled, to understand how the website is used and improve it (in aggregate, not to identify you).

We process your form data on the basis of your consent, which you give by ticking the consent box. We do not use your details for marketing unless you separately agree, and we never sell your personal data.

How we handle your form data

• Your enquiry is sent by encrypted email to the hospital's appointment desk.
• The website does not store your form data in any database or file on the web server.
• To limit spam, the server keeps a scrambled (hashed) version of your IP address and the time of submission for up to one hour. It cannot be used to identify you and contains no form content.

How long we keep it

• Enquiry emails are kept in the hospital's mailbox only as long as needed to arrange and follow up your appointment, and then deleted, unless you become a patient.
• If you become a patient, your medical records are kept separately as required by applicable medical record-keeping rules.
• Anti-spam data (hashed IP) is deleted automatically after one hour.

Who we share it with

We share your data only as needed to run this website and respond to you:

• Our hospital staff who handle appointments
• Service providers who process data on our behalf: website hosting (Hostinger) and our email service provider
• Google (if Google Analytics is enabled) and Meta (if you contact us on WhatsApp, or if a Meta Pixel is enabled)
• Authorities, only when required by law

Cookies and analytics

The website works without cookies. If we enable Google Analytics (GA4) or advertising measurement tools, they may set cookies to count visits and measure whether enquiries came from our ads. These load only after the page has loaded, and collect usage information, not your form content. You can block or delete cookies in your browser settings.

Your rights

Under the DPDP Act, you have the right to:

• Access a summary of the personal data we hold about you
• Correct or update inaccurate data
• Erase your data, where we no longer need it for the purpose it was collected
• Withdraw consent at any time (this doesn't affect anything done before you withdrew)
• Nominate another person to exercise your rights in case of death or incapacity
• Raise a grievance with us, and if not resolved, with the Data Protection Board of India

Children

If you are booking for a child (under 18), please make sure a parent or guardian submits the form and gives consent.

Security

This website uses HTTPS encryption. Access to enquiry emails is limited to authorised hospital staff. No system is completely secure, but we take reasonable steps to protect your data.

Changes to this policy

We may update this policy from time to time. The "last updated" date at the top will change when we do.
